Import Sales Voucher from Excel to Tally Prime: Where It Breaks

"Bhaiya, same order as last week. Aur 2 peti extra." That message contains no ledger name, no stock item and no unit Tally recognises. In the fortnight before Dhanteras (Fri 6 Nov 2026) an order clerk at a busy distributor may get a couple of hundred like it. Each one is typed into Excel for the godown and then typed again into TallyPrime.

If you've searched how to import sales voucher from Excel to Tally Prime, you already suspect the second round of typing isn't needed, and you're right. TallyPrime has imported transactions from Excel since Release 4.0 (27 Nov 2023), using mapping templates that read your sheet in whatever column order it already uses. Plenty of distributors on 4.0 or later have the feature and have never opened it.

This guide is for the owner or accounts head of a distributor or wholesaler in FMCG, paint, hardware or pharma. It covers:

  • one complete walkthrough for sales vouchers and Sales Orders
  • how to map multi-item invoices with GST
  • the exceptions Tally actually shows when an import fails
  • where Tally's new Docs by Ira fits
  • a plain rule for when the free template is enough

Which TallyPrime version supports Excel import, and what it can bring in

TallyPrime's Release 4.0 notes added native Excel import of both masters and transactions. It came with default templates, sample files, mapping for any workbook regardless of format or column order, and import logs. If you're on 4.0 or later, including the current 7.2 (released 12 Oct 2026), you can already import Excel to Tally Prime.

What you can bring in for this job:

  • Sales vouchers, with or without inventory
  • Sales Orders, Purchase Orders and Delivery Notes
  • Masters such as ledgers and stock items, through a separate masters import

What it won't do, according to Tally's Import Data FAQ:

  • Bank transactions can't be imported this way.
  • File types: only .xls and .xlsx. A CSV or a Google Sheet has to be saved as .xlsx first. You don't need a licensed copy of MS Office.
  • One worksheet per import. If your workbook has a tab for each salesman, combine the tabs or run one import per tab.

Volume isn't the constraint. Tally recommends batches of 50,000 to 1 lakh transactions per import, and 300 orders a day is nowhere near that. Name-matching is where imports go wrong, as later sections show.

How to import sales voucher from Excel to Tally Prime, step by step

Take a backup first. Once an import starts, it can't be cancelled. The import screen offers a backup step, so use it every time.

1. Start from Tally's sample file. Tally publishes sample Excel files with data for each voucher type. Copy the layout of the matching sample rather than designing your own from scratch.

2. Create a mapping template. Go to Alt+O (Import) > Manage > Mapping Templates > Transactions > Create. Select your Excel file and worksheet, then map each TallyPrime field to an Excel column header or a column letter (A to ZZ). These four fields are mandatory for every voucher:

  • Voucher Type Name
  • Voucher Date
  • Ledger Name
  • Ledger Amount

Save with Ctrl+A. Templates are saved as .tsf files under userconfig/excelmaps, so you can copy one to the accounts PC and the billing PC.

3. Tell Tally where each voucher starts and ends. By default, every unique combination of Voucher Type Name, Voucher Date and Voucher Number becomes one voucher. That's why repeating the invoice number on each item row works. The other options are Every Blank Row, Every Nth Row, Specify Columns and Specify Column Headers. If you can't see them, press F12 and set Show Additional Options for creating Masters to Yes (unique values guide).

4. Import. Go to Alt+O (Import) > Transactions. Enter the file details and choose how existing masters should be treated. Keep Preview Import Summary on (it's the default), configure the backup and press I.

5. Check the Day Book. Open the Day Book for the imported dates and compare the voucher count and totals against your sheet. That check replaces re-keying.

Import sales voucher from Excel to Tally Prime with multiple items and GST

A Tally import can read a sheet in one of two layouts (multiple rows and columns guide):

Multiple rows Multiple columns
Shape One row per item or ledger line; voucher fields repeated on each row One row per invoice
Fields to map Voucher Type, Date, Voucher No., Ledger Name, Ledger Amount, Dr/Cr, Item Name, Billed Qty, Rate, Item Amount Party as the top ledger, Sales and tax ledgers as bottom ledgers
GST lines "Ledger Details from Multiple Rows" handles several sales or tax ledgers Bottom ledgers named with "Specify Fixed Field Value", e.g. "Tax - CGST @ 9%", with amounts from their own columns
Best for Orders with many items, which covers almost every distributor order Accounting-only vouchers such as service bills

In the multiple-columns layout, the party is the top ledger: Ledger Name comes from your party column, the amount is the invoice net, and it's a Dr. Sales, CGST and SGST are bottom ledgers (top and bottom entries).

There is a caveat. Tally's multiple-columns example is explicitly "without Inventory", and no single help page shows items and GST ledgers together in one voucher. If you need both, start from the matching sample file and test on a copy of your company first.

For a paint or FMCG distributor whose orders run to 8 to 20 lines, choose multiple rows. Add a round-off column, because TallyPrime doesn't round off for you during an import. Without it, a 40-paise difference shows up as a Dr/Cr mismatch.

Can I import Sales Orders from Excel into Tally?

Yes. Sales Orders, Purchase Orders and Delivery Notes all import through the same Transactions route. Tally's samples include "Sales Order with Accounting Allocation" and a version for sales and expense ledgers.

Add a due-date column for each item. Tally has a known exception for this: "Due Date of Order is missing in Item Allocations".

For a distributor in the Diwali rush, a Sales Order is the safer thing to import. It records what was ordered and what is still pending, but it isn't a tax invoice. If a line is wrong, your staff edit an order rather than a GST document. You can raise the invoice against the order after the godown confirms stock.

That matters more than it sounds if you e-invoice. According to the GST e-Invoice System FAQs:

  • An IRN can be cancelled on the portal only within 24 hours, and only in full.
  • A cancelled IRN can't be regenerated for the same invoice number.
  • After 24 hours, the fix is a credit note or an amendment in GSTR-1.

Secondary sources (not the original GSTN advisory, which we haven't seen) put the e-invoicing threshold at AATO above ₹5 crore. They also say businesses with AATO of ₹10 crore or more have had to report invoices within 30 days of the invoice date since 1 Apr 2025 (GimBooks). If you're below the threshold, this section doesn't apply to you.

Where Excel to Tally import breaks: the exceptions you'll actually see

When an import goes wrong, staff often conclude that Tally import "doesn't work". Usually it did exactly what it was told. These are the real causes, in roughly the order a distributor meets them:

  • "Referenced master is missing." This is Tally's message when a party, ledger or stock item in your sheet doesn't exist. "Ledger does not exist" is how third-party guides describe it. TallyPrime doesn't create missing masters. By default it records an exception and carries on, and you can set it to stop instead. Fix these under Alt+O > Exceptions, either by creating the master or by replacing the reference with an existing one. Resolved vouchers then appear in your books (Tally's page).
  • Names must match your masters. "Sharma Kirana" won't find "Sharma General Store - Rohini". Tally's help doesn't document any alias matching on import, so assume the name has to be exact.
  • Items and units must already exist. "10 peti" won't map to a unit called "Box of 48".
  • Dr/Cr mismatch. Each voucher must balance, and a missing tax row or round-off line causes this exception.
  • Party State and Country. Without them in the party's GST details, sales can end up under Uncertain Transactions in GSTR reports.
  • Duplicates. Duplicate master names are flagged. Duplicate GSTINs are not, so two ledgers for the same shop can sit side by side.
  • Voucher numbers. These follow the voucher type's numbering. Importing the correct numbers avoids unnecessary Edit Log entries.
  • Template errors. "Unable to import, as one or more required fields are not set correctly in the mapping template" means a mandatory field is unmapped. "…the unique value selected for creating masters/vouchers is not valid" points to step 3 above (errors and resolutions).

Setting Ignore errors during import to Yes sends errors to Tally.imp instead of the Exceptions screen, which is easy to forget.

Can Tally's Docs by Ira read WhatsApp orders?

Partly. Docs by Ira, launched with TallyPrime 7.1 in 2026, reads PDF, JPG and ZIP files into draft vouchers, including Sales Orders, which a person reviews before saving. Tally says it saves 80% of the time (a vendor claim) and gives 100 free pages, once. It needs an Indian licence with active TSS (Tally Software Services). The help FAQ says 7.0 or later, while the product page says 7.1 or later.

Its limits for a distributor:

  • Matching is exact. Parties are matched by GSTIN or UIN and stock items by part number. Anything unmatched has to be created or mapped. The mapping is remembered after that.
  • It doesn't read text chats or voice notes. Most WhatsApp orders are one or the other.
  • Handwriting is uncertain. The Docs by Ira FAQ says handwritten documents aren't processed accurately. A Tally marketing article claims handwritten cash memos and WhatsApp photos work. Test it on your own parchis before relying on it.

If your buyers send printed POs or PDFs carrying their GSTIN, Docs by Ira may be all you need. "Sharma ji, same as last week" has no GSTIN and no part number in it.

Can WhatsApp orders be entered into Tally automatically? A decision rule

Getting WhatsApp orders to Tally is two jobs. The Excel import removes the second round of typing. It does nothing about the first, where a person turns a chat, photo or voice note into rows. Here is a composite example, which is illustrative and not a client. A hardware distributor in Indore with 180 retailers gets about 200 orders a day in the festive weeks. Roughly half are typed lists, a quarter are parchi photos and the rest are Hinglish voice notes or "same as last time".

Your situation Smallest fix
Orders already reach a sheet in a fixed format, with names your clerk picks from a dropdown of Tally masters Template only. It's free and built in. Do this first.
Buyers send printed or PDF POs with GSTINs Docs by Ira, then the template for anything it misses
Retailers will only ever send WhatsApp texts, photos and voice notes, at 50 or more a day An order agent that reads each message, resolves "same as last week" from order history and matches names through an alias table built from your data. It produces a Sales Order draft or an import-ready row, and a clerk approves it. How an AI agent for order processing works covers the accuracy limits on voice notes and parchis.
Your retailers are willing to tap through an app A B2B ordering app for distributors, so orders arrive structured, against their own rates. This often beats an agent.

Whatever you choose for WhatsApp order management, distributors should start with one clean sheet. Keep the party and item columns as dropdowns fed from your Tally masters. That removes most "Referenced master is missing" exceptions on its own. It's the same advice our guide to the signs your business has outgrown Excel gives: fix the smallest broken step first.

FAQs

Does TallyPrime create missing ledgers automatically during Excel import?

No. A missing party, ledger or stock item is recorded under Alt+O > Exceptions as "Referenced master is missing", and the import carries on unless you've set it to stop. Create the master or map the reference to an existing one, and the voucher then lands in your books.

Why does Tally say the ledger or stock item does not exist when I import?

The name in your sheet doesn't exactly match a master in that company, or the stock item or unit hasn't been created yet. Check for spelling, extra spaces and "Pvt Ltd" versus "Private Limited". Then use dropdowns fed from your masters so it doesn't happen again.

Can I import Google Sheets or CSV into TallyPrime?

Not directly. TallyPrime's Excel import accepts only .xls and .xlsx, one worksheet at a time. Download the Google Sheet or open the CSV and save it as .xlsx. You don't need a licensed copy of MS Office.

How many vouchers can I import at once?

Tally recommends 50,000 to 1 lakh transactions per import. A distributor's daily orders are far below that. Smaller daily batches are still easier to check in the Day Book.

What Cybiqon would build for this

If the template handles your orders, use it. It's free. If the bottleneck is the WhatsApp step, Cybiqon builds an order agent for that one job. It reads your retailers' texts, parchi photos and voice notes and matches them to your ledgers and stock items. Each order becomes a Tally Sales Order draft for your clerk to approve before anything enters the books. It's written for your masters, your retailers and your units, not configured from a template, and you own the code and the prompts. Our AI agents service starts from ₹19,999 one-time, scoped on the first call.

Send one day's WhatsApp orders (names blurred) to [email protected] or +91 9250711473, or book a 30-minute call. We'll tell you honestly whether you need an agent at all.

Conclusion

To import sales voucher from Excel to Tally Prime:

  1. Take a backup.
  2. Build one mapping template.
  3. Use one row per item with the voucher number repeated, plus a round-off column.
  4. Import into Sales Orders rather than invoices if you e-invoice.
  5. Check the Day Book.

Most failures are "Referenced master is missing", which a sheet with dropdowns from your Tally masters prevents. If orders still arrive as chats and voice notes, the typing is happening before the sheet. That's the step worth fixing before Diwali on Sun 8 Nov 2026, and Cybiqon is happy to talk it through.
