Managing 99acres, MagicBricks and Housing.com leads for real-estate brokers
Real Estate Lead Management Software: Stop Losing Portal Leads

One buyer enquired about your 3BHK on 99acres, MagicBricks and Housing.com last night. Two of your executives called him this morning. The third portal's lead is still sitting in an inbox nobody checks.
That is the job real estate lead management software is supposed to do, and in most brokerages it isn't getting done. Portals keep getting more expensive: Info Edge reported 99acres billings of Rs 110.1 crore for April to June 2026, up 16.5% from Rs 94.4 crore a year earlier, and it describes 99acres as serving mainly developers, builders and brokers. Yet ask the owner of a ten-person brokerage which package produced last month's site visits, and the answer is usually a guess.
The calendar makes it urgent. Navratri began on 11 October, Dussehra falls on 20 October and Diwali on 8 November 2026, which is when portal enquiries peak. Below: what portals and CRM connectors actually do, how to merge duplicate leads, what a WhatsApp reply costs after the 1 October 2026 pricing change, the DPDP, TRAI and RERA rules, and how to measure cost per site visit by portal.
Why property portal leads leak, and why it costs more every quarter
Each portal hands over leads its own way: a dashboard, an email, or an automatic push that only the portal's account manager can switch on. With three delivery methods and nobody owning the first reply, enquiries fall through:
- Overnight leads wait. An enquiry at 10:40 pm sits in a dashboard until someone logs in after the morning meeting.
- One buyer, two calls. The same person enquired on two portals, and two executives each think the lead is theirs.
- One buyer, no calls. Each executive assumes the other one called.
- No source on record. The Excel sheet says "Rahul, 3BHK, Wakad", not which portal he came from, so nobody can judge a package.
Competition for each enquiry is rising. According to ANAROCK, 1,00,220 homes were sold in India's top seven cities in July to September 2026, up 3% year on year, while new launches rose about 18% to roughly 1,14,320 units. PropEquity measured the same quarter differently and reported sales down 6% to about 1,03,000. On either count, supply is growing faster than the number of buyers, so the broker who answers first has the edge.
And more brokers are chasing each enquiry: MahaRERA counted 31,980 active agents in May 2025 (50,673 registered, 18,693 cancelled), in Maharashtra alone.
99acres CRM integration and MagicBricks CRM integration: what really happens
Most CRM vendors put "auto-capture from 99acres, MagicBricks and Housing.com" on their pricing page. What they leave out is that the portals control the connection. No portal publishes public API documentation we could find, so everything below is what integration vendors report:
| Portal | How leads reach your system (per integration vendors) | What to check before you pay for anything |
|---|---|---|
| 99acres | No webhook URL for you to paste in. The portal's account manager adds it, and Privyr says activation takes up to a week. Pabbly describes the same account-manager step. | Ask your account manager whether your package includes lead push. |
| MagicBricks | Privyr's connector covers contact-form leads, with roughly a week for activation. LeadSquared sells it as a paid add-on with the webhook set up on MagicBricks' side. Sell.do notes that call, chat and form leads carry different fields. | Do phone-response leads arrive with a name and email, or only a number? |
| Housing.com | Corefactors says it needs a premium account plus an ID and key. Housing.com, PropTiger and Makaan belong to one group. | Which tier you are on, and whether the key is in your name. |
So property portal leads management starts with a call to each account manager, not a software purchase. For any portal or lead type that won't push data, the fallback is reading the lead-alert emails automatically.
It is the same pattern as IndiaMART CRM integration: the lead source decides how data arrives, not your CRM.
Why do I get the same lead from 99acres, MagicBricks and Housing.com?
Buyers don't stick to one portal. According to MagicBricks, citing comScore for May 2026, MagicBricks had more than 8 million monthly unique visitors, 99acres 7.6 million, NoBroker 6.1 million and Housing.com 5.6 million. A serious buyer in Pune or Gurugram checks three or four of these sites and clicks "Contact" on the same listing on each one. To you, one buyer becomes two or three leads.
Fixing duplicate leads from real estate portals needs a few rules that you write down once and then let the system apply:
- Normalise the phone number to 10 digits. Remove +91, any leading 0, spaces and hyphens. "+91 98xxx-xxx12" and "098xxxxxx12" are the same buyer.
- Keep one record per buyer. A repeat enquiry is added to the existing record instead of creating a new row.
- The first owner keeps the lead. Whoever was assigned first keeps the buyer, unless a manager reassigns them.
- Record every source with its timestamp. "MagicBricks 9:12 pm, 99acres 9:20 pm, Housing.com next morning" is the raw material for your portal report.
Rule 4 is the one setups skip, and it is the one that lets you judge your packages.
How fast should a real estate broker respond to a portal enquiry?
Within minutes. No India study of real-estate response times exists; the dramatic figures online trace back to vendor marketing. The best-known measured study is from the US: Oldroyd, McElheran and Elkington sent test web leads to 2,241 companies for Harvard Business Review. Only 37% replied within an hour, 23% never replied at all, and companies that replied within 30 days took 42 hours on average. Even a quick, simple reply puts you ahead of most.
Can you connect 99acres leads to WhatsApp? Yes, through your own number on the official WhatsApp Business Platform. There is one rule to know. You can only send free-form messages within 24 hours after the buyer messages you, so the first message to a portal lead has to be a Meta-approved template. Hindi and English are separate versions of that template. A typical first message:
Namaste {name}, thank you for your enquiry on {portal} about {project}. I am {executive} from {brokerage}. Reply 1 for the brochure, 2 to book a site visit. Reply STOP and we won't message again.
Name your business and include an opt-out. Meta's opt-in policy expects people to know which business will message them, and it isn't clear a portal enquiry counts, so keep the first message about the enquiry itself.
What it costs: Meta lists India rates at Rs 0.8631 per delivered marketing message and Rs 0.115 per utility or authentication message, before 18% GST. Since 1 October 2026, service replies cost Rs 0.115 each after 1,000 free per number per month, and utility templates sent inside the 24-hour window are no longer free. Meta decides whether your template counts as utility or marketing. Even at the marketing rate, a first reply to 600 portal leads costs about Rs 518 plus GST. BSP resellers charge above Meta's list rates, so check your BSP invoice. Message fees aren't what makes a fast reply hard.
After that first template, the usual mechanics of automating WhatsApp replies (brochures, price lists, site-visit slots) apply. Messages within 72 hours of a click-to-WhatsApp ad stay free.
Cost per site visit: the report your real estate lead management software owes you
Cost per lead is the number the portals want you to look at. Cost per site visit is the one that tells you whether to renew.
Take a typical setup, adapted from a worked example published by Sell.do (a CRM vendor). A firm spends Rs 60,000 a month across two portals and gets 300 enquiries. On paper that is Rs 200 a lead. But the team reaches only 180 of those enquiries within 30 minutes, so the effective cost per worked lead is Rs 333. The 120 leads nobody worked cost Rs 24,000 a month, or about Rs 2.9 lakh a year.
One step further gives you a renewal report:
| Measure | How it is calculated | What it tells you |
|---|---|---|
| Leads received | Raw count per portal | What the portal will quote back to you |
| Unique buyers | After merging duplicates by phone | How much overlap you are paying for twice |
| Reached in 30 minutes | First reply logged within 30 minutes | Whether your team is the bottleneck |
| Site visits | Visits logged against the buyer's sources | Whether the leads are real buyers |
| Cost per site visit | Monthly package spend ÷ site visits from that portal | Which package to renew, cut or move |
Site visit tracking only works if executives log visits on their phone the same day, against the existing buyer record. Recording it on WhatsApp or in someone's memory doesn't count. Pick one credit rule for multi-portal buyers (first source, or split) and keep it.
What real estate lead management software should do: a system you own
Put together, a real estate lead management system for India needs six moving parts:
- Intake. Every 99acres, MagicBricks and Housing.com enquiry arrives through the portal's push, where the account manager has enabled it, or through email parsing where it hasn't. Housing.com leads integration follows the same pattern.
- Merge. Matching on the normalised phone number gives one record with several sources.
- First reply. This is where WhatsApp automation for real estate earns its keep: an approved Hindi or English template goes out within minutes, including at 11 pm.
- Assignment. Leads go round-robin to your sales executives, with a WhatsApp reminder to the executive and the sales head if a lead goes untouched for 15 minutes.
- Callbacks and site visits. These are logged from the executive's phone against the buyer and their sources.
- Monthly report. Cost per site visit for each portal, ready for the next renewal call.
Add a not-interested flag that stops every follow-up, whether WhatsApp, call or reminder. The next section explains why.
You have two ways to get this. You can rent a real estate CRM for brokers in India on per-seat pricing and set it up yourself, or you can have a smaller system built around these six steps and own it. The trade-offs are set out in renting a CRM versus owning one. For a team of 3 to 15 executives working mostly from portals, the six steps above are often all the CRM it needs.
Is it legal to WhatsApp or call a buyer who enquired on a property portal (DPDP Act, TRAI)?
Replying about the enquiry is defensible. Anything beyond that is not.
- DPDP Act 2023. The example under Section 7(a) is about a real-estate broker. A woman messages broker Y for help finding a rental, Y may process her data for that purpose, and Y must stop when she says she no longer needs help. Following up on her enquiry is covered; unrelated promotions aren't. The DPDP Rules were notified in November 2025, and most obligations apply about 18 months later, around May 2027. MeitY consulted in January to February 2026 on cutting that to 12 months, but that is a proposal, not a final decision. The maximum penalty for failing to protect data is Rs 250 crore.
- TRAI. Under the February 2025 TCCCPR amendments, promotional calls must come from 140-series numbers. Ordinary 10-digit numbers are prohibited for telemarketing. A first violation bars the sender's telecom resources for 15 days, and a repeat violation means a one-year disconnection and blacklisting. If your team calls from personal mobiles, read what TRAI now checks on telecalling.
- RERA. Agents must register under Section 9 of RERA 2016 and follow their duties under Section 10. Under Section 62, penalties run to Rs 10,000 for each day of default, up to 5% of the property's cost. In Maharashtra, MahaRERA Rule 14(2) requires agent and project registration numbers in ads. Since 1 August 2023 ads must also carry the project QR code, and this has been extended to agents. That covers your WhatsApp creatives as well as your portal listings. Other states set their own rules, so check with your state's RERA.
FAQs
Which is the best real estate lead management software for brokers in India?
The one your team uses on every lead. Check that it merges duplicates by phone across portals, records every source, sends a WhatsApp template within minutes and reports cost per site visit. A long feature list doesn't help if leads still sit overnight.
Can I connect 99acres leads to WhatsApp?
Yes. Get 99acres to push leads to your system (integration vendors say the account manager enables this, usually within a week), then send an approved WhatsApp template from your own official Business Platform number. The first message must be a template because the buyer hasn't messaged you yet.
Do brokers need a RERA number on portal listings and WhatsApp ads?
In Maharashtra, yes: agent and project registration numbers plus the project QR code, and WhatsApp creatives count as ads. Other states differ, so check your state's RERA.
How much does WhatsApp Business API cost per message in India in 2026?
According to Meta's India list rates, a delivered marketing message costs Rs 0.8631 and a utility message Rs 0.115, before 18% GST. Since 1 October 2026, service replies beyond 1,000 free per number per month cost Rs 0.115. BSPs add their own margin, so check your BSP invoice.
What Cybiqon would build for your brokerage
Cybiqon can build the six-part system above for your brokerage. It would take in every 99acres, MagicBricks and Housing.com enquiry, merge duplicates by phone and send the Hindi or English WhatsApp template within minutes. It would also assign leads to your executives and chase them, log callbacks and site visits, and send you cost per site visit by portal each month. It is written for how your team works, not configured from a template, with no per-seat fees, and you own every line of the code.
It sits on top of our WhatsApp automation work on the official platform. To start, WhatsApp us the portals you pay for and roughly how many leads you get a month. We'll show you where they are leaking before we quote anything. Book a 30-minute call, call +91 9250711473, or write to [email protected].
Conclusion
Navratri to Diwali is the costliest time to let a portal enquiry wait overnight or get called twice. Good real estate lead management software comes down to four things: one record per buyer, a WhatsApp reply in minutes, an executive who is reminded until they call, and a monthly cost per site visit for every portal. Get those right before your next package renewal. If you would rather own that system than rent it, Cybiqon is happy to talk it through.
