Ledger and balance confirmation for distributors on TallyPrime: sending, tracking replies and fixing disputes
Ledger Confirmation in Tally Prime: Send, Track, Settle Disputes

The first half of FY2026-27 closed on 30 Sep 2026. If you run a distribution business, your accountant is now asking a familiar question: has every retailer and sub-dealer agreed what they owe us?
Ledger confirmation in Tally Prime answers half of that question. TallyPrime can send a Confirmation of Accounts to an entire ledger group in one go, by print, email or WhatsApp. The other half is where the weeks go. Somebody has to work out which dealers said "ok", which ones sent a photo of a different figure, and which ones never replied.
That gap costs money. According to Recordent's 2026 receivables report, which covers about 1.1 lakh Indian businesses and more than 10 lakh transaction records, invoices take an average of 73 days to be paid. A distributor's dealer ledgers are full of open bills, part-payments and credit notes, and that is exactly where balances drift apart.
Below: the current TallyPrime steps, how to track replies, the six usual mismatch causes with the entry that fixes each, positive vs negative confirmation, what your auditor accepts, and what the letter should contain.
How to Send Ledger Confirmation in Tally Prime to All Parties
Most search results still show Tally.ERP 9 paths such as "Gateway of Tally > Multi Account Printing". Those menus don't exist in TallyPrime. According to Tally's help pages, the current path is:
- Press Alt+P (Print) to print, or Alt+M (Share) to email or send on WhatsApp.
- Choose Others, then Group of Accounts.
- Select the group, usually Sundry Debtors. Use a sub-group if you keep dealers by area or route.
- Press C (Configure) and set Report Type = Confirmation of Accounts.
- Set the period (for example 1 Apr 2026 to 30 Sep 2026) and print or send.
That is all it takes to produce confirmation of accounts in Tally Prime for every party in the group.
Ledger confirmation on WhatsApp from Tally: from the share screen, use Common Template for Reports and press W to send on WhatsApp. TallyPrime's WhatsApp for Business arrived in Release 4.0. Messages are charged at Meta's rate card through an Interakt wallet, so 300 dealers means 300 billable messages. Every party ledger needs a correct mobile number before you start.
Two details to check against your release before you rely on them:
- Letter wording. Older guides edit the confirmation text through an F12 configuration. Tally's TallyPrime help does not document this path, so check what your version offers.
- Bulk email. Tally's help doesn't spell out the exact bulk email steps for this report in current releases either. Run a test with three or four ledgers before you send to the whole group.
Plugins such as Fast2SMS advertise a WhatsApp ledger confirmation template, but their help documents it for a single party ledger, not in bulk.
After Ledger Confirmation in Tally Prime: Confirmed, Disputed, Silent
TallyPrime's WhatsApp help says it does not save a summary of sent messages, and replies have to be read in the Interakt portal. Plugin vendors say parties "reply from the same chat". Nothing records which dealer agreed and which didn't. So most accounts teams keep an Excel tick-list, and dealers reply with:
- "ok" or a thumbs-up
- a WhatsApp voice note from the shop
- a photo of their khata or their own Tally ledger, showing a different number
- nothing at all
Track every dealer under one of three statuses, with a date for each:
| Status | What you record | Next action |
|---|---|---|
| Confirmed | Date and the reply itself (screenshot, email or signed copy) | File it against the ledger, then close |
| Disputed | The dealer's figure, the difference, and their statement or photo | Find the cause (next section) and pass the correcting entry, or send back an explanation |
| Silent | Date sent, number of reminders | Follow up at fixed intervals, then call. Escalate key accounts to the salesperson |
Fix the follow-up rhythm before you send. A common pattern is a reminder after 7 days, a call after 14, and a visit from the salesperson for large balances. If the dealer is silent because they are behind on payment, that is a collections problem, not a confirmation problem. Hand it to your payment reminders on WhatsApp from Tally rather than mixing the two messages.
Why Your Ledger Doesn't Match the Dealer's: Six Causes and Their Fixes
A dispute usually means two honest sets of books recorded different things. For distributors, the causes repeat.
| Cause | What it looks like | Fixing entry in TallyPrime |
|---|---|---|
| Scheme credit note not booked | Dealer deducted a scheme or target incentive you haven't recorded, or you booked it against the wrong bill | Credit Note: Dr scheme/discount ledger, Cr dealer, allocated bill-wise to the right invoice. If it's against the wrong bill, alter the bill allocation |
| Unallocated receipt | UPI/NEFT payment sitting "On Account", or booked to the wrong party with a similar name | Alter the receipt's bill-wise allocation to Agst Ref. If it went to the wrong party, pass a journal: Dr wrong party, Cr correct dealer |
| Rate difference or discount claimed | Dealer billed at an older rate or took a cash discount you didn't agree to | If agreed: Credit Note to rate difference/discount ledger, Cr dealer (ask your CA about GST treatment). If not agreed: no entry, reply with the agreed rate |
| Return not booked | Expired or damaged stock went back with your salesman but hasn't been entered | Credit Note with stock items (sales return): Cr dealer, GST reversed |
| TDS deducted under 194Q | A large dealer paid 0.1% less than the bill | Journal: Dr TDS receivable, Cr dealer. Verify against Form 26AS/AIS |
| Cut-off timing | Cheque in transit on 30 Sep, or goods billed on 30 Sep that the dealer received in October | No entry. Record it as a reconciling item in your reply |
A few notes on the trickier rows:
- Scheme credit notes cause the most disputes for FMCG and pharma distributors, because the dealer usually knows what the trade scheme promised before your accounts team has the claim.
- Unallocated receipts have their own fix upstream. If you match customer payments to invoices in Tally as money comes in, half-year confirmations turn up far fewer differences.
- Section 194Q applies when the buyer's turnover in the previous year was above Rs 10 crore and its purchases from one seller cross Rs 50 lakh in a year. The buyer deducts TDS at 0.1% on the amount above that threshold. TCS under 206C(1H) no longer applies from 1 Apr 2025. Secondary sources say the provision moved to Section 393 of the Income-tax Act 2025 from 1 Apr 2026 at the same rate. Confirm the current reference with your CA.
Positive and Negative Balance Confirmation: Which One to Use
There are two types of debtors balance confirmation:
- Positive confirmation asks the dealer to reply either way, agreeing or giving their own figure. A "blank" variant leaves the balance out and asks the dealer to fill it in, which avoids dealers agreeing without checking.
- Negative confirmation asks the dealer to reply only if they disagree. No reply is taken as agreement.
Negative confirmation is tempting with 300 dealers, but it is weak evidence. Under ISA 505 (paragraph 15, which ICAI's SA 505 mirrors), an auditor may rely on negative confirmations as the only substantive procedure only when all four of these conditions hold:
- The auditor has assessed the risk of material misstatement as low and has evidence that the relevant controls work.
- The population is a large number of small, similar account balances.
- A very low exception rate is expected.
- The auditor knows of nothing suggesting that recipients would ignore the request.
A distributor with a few large dealers holding most of the balance usually fails condition 2. For your own reconciliation, use positive confirmation for large and long-overdue accounts and negative confirmation for the long tail, if at all.
Is a Self-Sent Confirmation Valid for Your Auditor Under SA 505?
The short answer: it's a reconciliation tool, not audit evidence.
According to ICAEW's guidance on ISA 505, which ICAI's SA 505 mirrors, the auditor must keep control of the confirmation requests. That means the auditor decides which parties to ask, designs and sends the request, and receives the replies directly. A confirmation your accounts team sends from Tally and collects on WhatsApp doesn't meet that test, however genuine the replies are.
It is still worth doing, because it:
- finds unbooked credit notes, returns and TDS before the auditor does
- cleans up balances so the auditor's own confirmations come back agreed
- shows which dealers are drifting into dispute while you can still settle things amicably
Auditors take receivable confirmations seriously. As reported by Moneylife (single source), NFRA in November 2023 barred the engagement partner on the FY2016-17 audit of MAN Industries for five years and imposed a Rs 5 lakh penalty. One of the failures cited was not obtaining SA 505 confirmations when trade receivables were 25.09% of total assets. So run your own confirmation round first, then give your auditor clean ledgers and correct addresses for theirs.
Balance Confirmation Letter Format: What It Should Contain
TallyPrime's Confirmation of Accounts report gives you a ledger extract with a covering note. Whether you use Tally's version or your own balance confirmation letter format, check it contains:
- Your details: company name, address, GSTIN and the contact person for queries
- Dealer details: name as in your ledger, address and GSTIN
- Period and as-on date: for example, 1 Apr 2026 to 30 Sep 2026
- Closing balance: amount in figures and words, and whether the dealer owes you (Dr) or you owe them (Cr)
- Ledger extract or open bills: bill-wise detail makes disputes much faster to resolve
- The request: confirm the balance, or send your statement showing the difference
- A reply-by date and channel: for example, "by 31 Oct 2026, by WhatsApp reply or email to accounts@…"
- For negative confirmation only: a line saying the balance will be treated as correct if no reply is received by that date
- Authorised signature or a digital signature
For audit confirmations, the reply address must be the auditor's, not yours.
When an AI Agent Is Worth Building for Ledger Confirmations
With 40 dealers, an Excel tick-list works. Past 150 or so, tracking takes longer than sending. TallyPrime, used by more than 2.7 million businesses according to Tally Solutions, added "Docs by Ira" in Release 7.1 (June 2026) to read documents into entries. It still doesn't record who confirmed, disputed or ignored a confirmation.
Here is an illustrative workflow, not a measured result. Say a distributor sends 300 confirmations after the half-year close. Three weeks later the agent's status sheet shows 212 confirmed, 31 disputed, 57 silent. The work behind those numbers looks like this:
- Read from Tally: each dealer's closing balance and open items as on 30 Sep.
- Send on WhatsApp: each dealer gets their own ledger with a clear "Agree / Don't agree" reply.
- Log every reply: a reply of "ok" marks the dealer confirmed. A photo or statement marks them disputed and records the dealer's figure. No reply leaves them silent, with dated reminders.
- Match each dispute: the agent compares the difference against unbooked scheme credit notes, unallocated receipts, pending returns and 0.1% TDS amounts, and suggests the likely cause.
- Draft the fix: it prepares the correcting voucher for your accountant to approve in Tally. Nothing posts without a human.
- One live sheet for the owner: who's confirmed, who's disputed and by how much, and who needs a call.
It's worth building when the round takes weeks rather than days, or the same disputes return every half-year. It sits on your existing TallyPrime rather than replacing it.
FAQs
How do I print or send Confirmation of Accounts for all debtors at once in TallyPrime?
Press Alt+P (print) or Alt+M (share), choose Others > Group of Accounts, select Sundry Debtors, press C (Configure) and set Report Type to Confirmation of Accounts. Set the period and print or send. Every ledger in the group gets its own confirmation.
Can I send ledger confirmation on WhatsApp from TallyPrime?
Yes, from Release 4.0. In the share screen, use Common Template for Reports and press W. Messages are charged at Meta's rate card via an Interakt wallet, and replies are read in the Interakt portal.
What is the difference between positive and negative balance confirmation?
A positive confirmation asks the party to reply whether they agree or not. A negative confirmation asks them to reply only if they disagree. Under SA 505, negative confirmation alone is acceptable only when four strict conditions are met, including low assessed risk and a large number of small, similar balances.
Is a balance confirmation sent by the company valid for the auditor under SA 505?
Not as audit evidence. SA 505 requires the auditor to control sending and receiving. Your own round still finds and fixes differences before the audit.
What do I do when a dealer disputes the balance?
Get their statement for the same period, compare it bill by bill and look for the usual causes: scheme credit note, unallocated receipt, rate difference, unbooked return, 194Q TDS or cut-off timing. Pass the correcting entry if you agree; otherwise send the dealer an explanation.
What happens if a party never replies to a balance confirmation?
For your own books, follow up at fixed intervals, then call; if the dealer is overdue, treat it as collections. For audit, the auditor usually sends a second request, then uses alternative procedures such as checking later receipts and the supporting invoices and delivery documents.
Get the Replies Tracked, Not Just the Letters Sent
If your half-year confirmations end in an Excel sheet and three weeks of WhatsApp scrolling, Cybiqon can build the layer TallyPrime doesn't have. It is a small agent that reads each dealer's balance from your Tally, sends the ledger, logs every reply as confirmed, disputed or silent, matches each disputed amount against credit notes, receipts, returns and TDS, and drafts the correcting voucher for your accountant to approve.
It is written for your dealer list and your schemes, not configured from a template, and you own every line of the code. Our AI agents and automation work starts from ₹19,999, and the scope is fixed on the first call. Book a 30-minute call, or reach us at +91 9250711473 or [email protected].
Conclusion
Ledger confirmation in Tally Prime is easy to send and hard to finish. Alt+P or Alt+M gets a confirmation to every dealer in minutes. The value is in what follows: tracking confirmed, disputed and silent dealers, tracing each difference to a credit note, receipt, return, TDS or cut-off, and passing the right entry. Finish it before your auditor sends their SA 505 requests and their round goes far more smoothly. If tracking replies is what takes the weeks, talk to Cybiqon about the agent.
