Tally will send your dealer a WhatsApp reminder in two clicks. Then the dealer replies "Friday ko dunga", and Tally has no idea. That one sentence is the whole problem with a tally payment reminder on whatsapp: sending is solved, remembering what the dealer said is not.

If you run accounts for a distributor or wholesaler with 100 to 500 credit dealers on TallyPrime, you probably know the feeling. Atradius's India payment practices survey (published 29 Jul 2025) says 63% of credit-based B2B sales in India end up overdue, with average bad debts of 7%. That is Atradius's own survey data and we have not verified it independently,, so treat it as a benchmark rather than your own number. Navratri starts on 11 Oct 2026 and Diwali on 8 Nov 2026, so the festive buying and the festive "next week" promises are both about to arrive.

How do I send a payment reminder on WhatsApp from TallyPrime?

TallyPrime Release 4.0 (27 Nov 2023) added a native WhatsApp option. The path, per Tally's help documentation, is:

  1. Open Bills Receivable (the outstanding report).
  2. Press Alt+M (Send).
  3. Choose WhatsApp, then Reminder Letter.
  4. Pick the ageing range you want to chase.
  5. For a bulk run, select All Ledgers.

That is the whole flow. It is good for a Monday-morning sweep of everyone who is 30+ days overdue. Tally's release notes also mention payment links on reminder letters, but the FAQ documents the link template clearly only for invoice copies, so test it on your own setup before promising dealers a "pay now" button.

Does TallyPrime have a built-in WhatsApp feature, and what does it cost?

Yes, and it is a paid add-on. Per Tally's price list, TallyPrime with WhatsApp is Rs 1,300 per year plus Rs 100 of wallet credit (both excluding tax), with a 12-month minimum. Message charges are on top, at Meta's rate card.

Meta's WhatsApp pricing page lists roughly Rs 0.115 per utility message and roughly Rs 0.8631 per marketing message (treat both as "about", since Meta revises them). A payment reminder is normally a utility template. Utility templates sent inside an open 24-hour customer window are free.

A quick sum, as an illustration: a distributor chasing 300 dealers once a week sends about 1,200 utility messages a month. At about Rs 0.115 each that is roughly Rs 140 a month in Meta charges. The cost is not the issue. The issue is what happens after the message lands.

Is there a free WhatsApp plugin for Tally?

Yes. Fast2SMS publishes a free .TCP plugin for Tally. Its pages show a charge of Rs 0.25 per delivered utility message, and the documented flow is selecting ledgers manually, or select-all, and sending.

Be careful about what it does not document. The Fast2SMS pages describe manual or select-all ledger selection only. We could not find documentation of filtering by amount and age together, recording replies, scheduling, tracking promises or putting a credit hold on a dealer.

For many owners, this free route or Tally's own WhatsApp is enough. If you have 100 dealers, one accounts person and a weekly routine, set it up this week and stop reading. You only need more when replies and follow-ups start slipping through the gaps below.

Can TallyPrime schedule WhatsApp reminders, and where do customer replies go?

Two answers straight from Tally's own WhatsApp FAQ:

  • Scheduling: it is not possible to schedule WhatsApp sends from TallyPrime. Someone presses the buttons each time.
  • Replies: they land in the Interakt inbox, not in Tally.

So the dealer's "Friday ko dunga" or "cheque bhej diya hai" sits in a separate inbox. Tally's ledger still shows the invoice as plain overdue. Whoever reads the reply has to remember it, or paste it into a sheet.

How do I track a dealer's promise to pay?

Tally records balances. It does not record promises. A promise is a small fact with four parts: who, how much, by when, and who heard it. Put that in a register and your collection work changes from memory to a list.

Here is a mock promise log. It is illustrative, not a real client's data.

Each row is written the moment a dealer replies. The reply text, the date and the person go in once, and the status updates itself when the date passes with no receipt in Tally. Tally stays the book of record for the money. The register only holds what Tally has no field for.

What does a daily per-salesman collection queue look like?

A queue turns the log into work. Every morning each salesman gets a short list, rather than a 300-line outstanding report. This is the idea behind salesman wise outstanding collection, and it matches how dealers actually respond: they pick up a call from the person who sold to them.

An illustrative queue for one salesman:

  • Promised today (call after 11 am if no receipt): Verma Agencies, Rs 56,500
  • Promise missed yesterday (call and ask for a new date): Gupta Traders, Rs 1,20,000
  • Newly 45 days overdue (first reminder goes out, a human reads it before sending): two dealers
  • Order placed while overdue (check before dispatch): one dealer

Can I stop new orders for a dealer who keeps missing payments?

Tally does have a credit limit. It raises an error on voucher entry when a dealer's balance would exceed the limit, and our guide to setting a credit limit in TallyPrime shows how to switch it on. Do that first.

The gap is not the balance. It is behaviour. A dealer can sit well under their limit and still have missed two promises in a row. A balance check will not tell you that.

A simple owner flag rule handles it:

  • 1 missed promise: the salesman is told, nothing else changes.
  • 2 missed promises: the owner or accounts head is flagged, and new orders for that dealer need a quick manual okay.
  • 3 missed promises: orders are held until the owner speaks to the dealer.

The rule is yours to set. The point is that it fires from the log, not from someone's memory at 6 pm on dispatch day. A human still sends every firm reminder, and a person makes the hold decision. Software only shows who needs the call.

What should you do first, before building anything?

A sensible order for a distributor on TallyPrime:

  1. Turn on credit limits in Tally.
  2. Run the Tally WhatsApp reminder, or the free Fast2SMS plugin, for a few weeks.
  3. Keep a shared sheet of promises for those weeks. If it stays tidy, you do not need anything else.
  4. If the sheet is rotting, replies are lost, or two salesmen chase the same dealer, build the promise log and queue properly.
